How we handle your information
This explains what we record about you, why, how long we keep it, and what you can ask us to do about it.

Who is responsible
Glenrothes Dental House Ltd (company number SC867882), trading as Glenrothes Dental House, is the data controller. That means we decide what is recorded about you and why.

What we record
Your name, date of birth, address, phone number and email address
Your NHS number, and any exemption from NHS charges you have told us about
Your medical history, the medicines you take, and allergies — because dental treatment can be unsafe without it
Notes of your treatment, X-rays, photographs, scans and moulds of your teeth
Appointments, and whether you attended
Payments, and any complaint or correspondence
Health information is what UK GDPR calls “special category” data. It gets extra protection in law, and we treat it that way.

Why we are allowed to hold it
Different information rests on a different legal basis. We do not rely on your consent for your clinical records — you cannot safely be treated without them, so consent would not be a real choice, and withdrawing it could not undo the treatment.
Your dental records
Legal obligation and legitimate interests, together with the health and social care condition for special category data. In UK GDPR terms, Article 6(1)(c) and 6(1)(f) with Article 9(2)(h).
NHS treatment
A public task, because NHS dentistry is delivered under an arrangement with NHS Fife. Article 6(1)(e) with Article 9(2)(h).
Private treatment and payment
Performing our contract with you. Article 6(1)(b).
Appointment reminders
Legitimate interests. You can ask us to stop or change how we send them.
A callback request or an email to us
Legitimate interests — you asked us to get in touch. We use it to reply and for nothing else.

Who we share it with
We share the minimum needed, and only where there is a reason.
NHS National Services Scotland, for NHS treatment and payment
Your doctor, or a dentist we refer you to, where your care needs it
Dental laboratories that make crowns, dentures and appliances
Our practice management system supplier, which stores records on our behalf
Our indemnity provider or legal advisers, if there is a claim
Anyone we are required by law to tell, such as a court
We do not sell your information, and we do not use it for advertising. Your records stay in the UK or the European Economic Area.

How long we keep it
Adults
At least 11 years after your last appointment.
Children
Until their 25th birthday, or their 26th if they were 17 at the last appointment — whichever is longer.
Callback requests and enquiries
Up to 12 months, unless you become a patient.
These follow the NHS Scotland records management code of practice. We delete records securely once the period ends.

What you can ask us to do
See your records. Ask us for a copy. It is free and we respond within one month.
Correct them. If something factual is wrong, tell us and we will fix it.
Restrict or object. You can ask us to limit how we use your information, or object to a particular use.
Get a copy to take elsewhere, where that right applies.
Ask us to delete it. We often cannot, because we are required to keep dental records for the periods above. We will explain if that is the case.
Stop appointment reminders at any time.
A clinical opinion you disagree with is not a factual error. We can add your comments to the record even where we cannot change the entry.
Ask by phone, by email, or in person. We may check who you are first.

Cookies and this website
We set no advertising cookies. There is no advertising pixel, no third-party script and nothing that follows you to other websites.
The site stores one thing without asking: if you switch it to light or dark, we remember which you chose. That is a setting you asked for, so we are allowed to keep it without your agreement.
Measuring how the site is used
Only if you agree. The first time you visit, we ask. If you say no, or you never answer, nothing below happens at all. You can change your mind at any time using the link at the bottom of any page.
If you agree, we record:
which pages you open, and in what order
how long you stay on a page, and how far down it you read
anything you type into the search box on this site
which buttons you press — booking, calling, and the like
the website that sent you here, if one did, and which printed QR code you scanned
It stays on our own server. We do not share it, sell it, or send it to anyone else. We use it to find pages people cannot reach and questions the site fails to answer.
We cannot tell it is you. We do not store your IP address. To tell one visitor from another on a given day we use a scrambled code that is thrown away every night, so one day’s records cannot be joined to another’s, and the code cannot be turned back into an address. We never link any of it to your patient record, your name, or anything you type into a form on this site. All of it is deleted after 90 days.
If your browser sends a Global Privacy Control signal, we treat that as a no and do not ask.
.
Server logs
Our hosting provider keeps standard server logs, including IP addresses, for security. They are separate from the above and are not used to identify you.
